If you need to update or edit an existing Manual Assessment or Observation:

  1. Click Training in the side menu
  2. Click Programs
  3. Click edit on the program that the relevant activity is in (Edit is under the ellipses/three dot drop down menu)
  4. Click continue if there is a popup (this is alerting you that changes may affect reporting)
  5. Click the Activities tab
  6. Find the relevant activity and click edit (under the ellipses/three dot drop down menu)

Then, depending on the changes to be made:

To update/change the Assessor or Observer:

  1. Click the Assessor/Observer tab
  2. Click Add New
  3. Add New Role, User, or User Group
  4. If adding an individual user; Click in the space and start typing the name of the person you want to add
  5. Click their name when it auto-populates
  6. Select whether the Role/User/Group can do assessments across all locations, or only their own (that's the drop down for "Authorised Assessor")
  7. Tick Required Task if you would like them to be notified when a learner submits an assessment/requests an observation 
  8. Click Update to apply the changes
  9. Continue with any other edits as needed, or click the Update button to finish updating the program

To update the assessment or observation questions: 

  1. IMPORTANT NOTE: If you update the questions, it will clear out any in progress or outstanding assessments/observations. Learners will be required to make a new submission. It will not affect any completed assessments or observations (ie ones that have been marked as Satisfactory)
  2. Click the Questionnaire tab
  3. Add/edit/delete questions as required
  4. Click Update to apply the changes
  5. Continue with any other edits as needed, or click the Update button to finish updating the program
  6. Optional: You can utilize the Notify Users option to communicate with enrolled users about changes to the program. Switch the toggle on, then update the email text as needed
