If you need to update or edit an existing Manual Assessment or Observation:
- Click Training in the side menu
- Click Programs
- Click edit on the program that the relevant activity is in (Edit is under the ellipses/three dot drop down menu)
- Click continue if there is a popup (this is alerting you that changes may affect reporting)
- Click the Activities tab
- Find the relevant activity and click edit (under the ellipses/three dot drop down menu)
Then, depending on the changes to be made:
To update/change the Assessor or Observer:
- Click the Assessor/Observer tab
- Click Add New
- Add New Role, User, or User Group
- If adding an individual user; Click in the space and start typing the name of the person you want to add
- Click their name when it auto-populates
- Select whether the Role/User/Group can do assessments across all locations, or only their own (that's the drop down for "Authorised Assessor")
- Tick Required Task if you would like them to be notified when a learner submits an assessment/requests an observation
- Click Update to apply the changes
- Continue with any other edits as needed, or click the Update button to finish updating the program
To update the assessment or observation questions:
- IMPORTANT NOTE: If you update the questions, it will clear out any in progress or outstanding assessments/observations. Learners will be required to make a new submission. It will not affect any completed assessments or observations (ie ones that have been marked as Satisfactory)
- Click the Questionnaire tab
- Add/edit/delete questions as required
- Click Update to apply the changes
- Continue with any other edits as needed, or click the Update button to finish updating the program
- Optional: You can utilize the Notify Users option to communicate with enrolled users about changes to the program. Switch the toggle on, then update the email text as needed
